This is a designated Control Function role at a CySEC regulated Cyprus Investment Firm (CIF). The Head of Back Office operates under MiFID II obligations including CySEC Directive DI87-01 on Safeguarding of Client Assets. CySEC Advanced Certification is preferred. Candidates must be based in Cyprus.

HRFinEase is recruiting a Head of Back Office for a CySEC regulated MiFID II investment firm in Cyprus. Remote-based within Cyprus with occasional office visits to Limassol. 5+ years back office experience at a CySEC regulated CIF mandatory. €7,000 net/month — higher packages considered for exceptional candidates.

Requirements
- Minimum 5 years of experience in Back Office or Operations at a CySEC regulated Cyprus Investment Firm (CIF) — mandatory
- Strong expertise in 3-way reconciliation of client funds and financial instruments — critical requirement
- Proven experience in asset safeguarding in accordance with CySEC Directive DI87-01
- Deep understanding of MiFID II requirements regarding client categorisation and asset protection
- Experience in CDD/KYC Quality Assurance (QA) and 1st Line of Defence (1LoD) oversight
- Familiarity with regulatory reporting — EMIR, MiFIR, COREP, FATCA/CRS
- Proficiency with CRM systems, trading platforms, and advanced Excel (VLOOKUP, Pivot Tables)
- Knowledge of payment systems — PSPs, SWIFT, SEPA
- CySEC Advanced Certification — preferred
- Fluent English (written and spoken) — mandatory. Greek or other languages are an advantage
- Must be based in Cyprus — remote role with occasional visits to Limassol office required
Responsibilities
- Act as the primary guardian of client assets in accordance with CySEC Directive DI87-01 — ensuring complete segregation of client vs company funds at all times
- Perform and approve the daily 3-way reconciliation of client funds and financial instruments between internal ledger (Back Office System/CRM), Prime Brokers (omnibus accounts/MMFs), and Bank/PSP accounts
- Investigate and resolve any reconciliation breaks or discrepancies immediately on a T+0 basis
- Provide accurate client asset holding data for ICARA and the annual Auditors' Report on Safeguarding of Client Assets
- Act as risk owner for client onboarding (CDD/KYC) — responsible for verification, acceptance, and quality assurance of client profiles under the Reliance Model
- Design and execute a robust QA programme to monitor KYC/AML data quality received from partners under the Reliance Agreement
- Proactively identify and block high-risk applicants or suspicious activities at the onboarding stage
- Oversee settlement of investment instructions (subscriptions/redemptions of MMF units) with the Prime Broker/Custodian
- Manage outgoing payments with strict 4-eyes checks — ensuring funds are returned only to verified sources under the Closed Loop principle
- Handle operational exceptions, trade breaks, and rejected payments
- Ensure timely and accurate submission of transaction reports (MiFIR/EMIR) to the Trade Repository or ARM
- Assist Risk Manager and Finance in preparing quarterly COREP forms and annual Form 165-03 (Safeguarding of Client Funds)
- Oversee annual FATCA/CRS tax reporting submissions for client accounts
- Report directly to the Board of Directors and COO
